Reserving a Room on Campus

Students, staff and faculty may book meeting space on campus for school related events.  We use a web based system for making and checking room reservations. This online system can be accessed by going to: http://events.ants.edu

How do I request a reservation?

Anyone can browse current reservations; however, to request reservations you must get a system account and be affiliated with Andover Newton. To get an account and training please contact the Help Desk at: .(JavaScript must be enabled to view this email address)

How much notice do I need to give when requesting a reservation?

Reservation requests requiring set up or food service should be submitted no less than five (5) business days prior to the event.

What if I need to make a reservation with less than five business days' notice?

Requests for reservations that do not require set up or food service can be made using the online system up until the time of the reservation. Please note that we cannot guarantee that doors will be unlocked for short notice reservations. Students, staff and faculty may sign out keys from the Business Office in Dabney Hall if they are concerned that the doors will be locked.

Catering Orders should be submitted to Victoria Santana, Director of Dining Services by emailing a completed catering order form (found here https://sites.google.com/site/chartwellsants/) to .(JavaScript must be enabled to view this email address) or by calling Vicky at 617-831-2438 to discuss your catering needs and options. Andover Newton has a contract with Chartwells Dining Service to provide food service to the campus. Under the contract, Chartwells is the exclusive caterer for Andover Newton events.

How will I know my reservation is confirmed?

You will receive an automatic email stating that you have requested a room. The Internal Events Room Reservation Coordinator will notify you that your request for a room reservation has been confirmed by sending an email to your ants.edu email address. You will also receive an email if your request has been denied for any reason.

You also may check the status of your request through the web based system:

  1. Log in
  2. Under the “Reservations” heading click on “View My Reservations”
  3. In the “Current” tab you will find a list of your reservations for future dates (“Historical” is for events that have passed).  Your reservation will appear as “Web Request” until it is either confirmed or denied.  Once confirmed it will show as “Confirmed (internal)”.  If it is denied it will appear as “Web Declined”. 

I submitted my request a couple of days ago.  Why is it still listed as “Web Request?”

The Room Reservation Coordinator (RRC) position is part-time, so Web Requests will not be checked every day. If your request has not changed from "Web Request" within three days of making it and you are concerned it has been overlooked, feel free to email the RRC at .(JavaScript must be enabled to view this email address).

*These rooms have only one set up.

None of these set ups are what I have in mind.  Can I design my own set up?

Yes, but you will need to submit a detailed drawing to the Housing/Internal Events Office (Worcester 101) at least seven business days before your event.  Please use the PDF floor plan below that corresponds to the space you would like your set up in.  If you don’t want to print it yourself stop by during Housing Office office hours and we’ll give you a copy. When making your drawing please remember the number of tables and chairs available for the room.

I am an Andover Newton student, staff or faculty member and I would like to reserve space for a non-school related event. Is there a different reservation request protocol I need to follow?
